Card holds and deposits
Ask online guests for a card to protect against no-shows, or take a deposit upfront. Nothing is charged automatically for a no-show.
Owner and managerCard rules are in Settings, Card holds & deposits, in the "No-show protection" card. You need to connect Stripe first (see "Connect Stripe"). If the card is locked, with a message that card holds are not available for your venue yet, contact hello@nicework.sg.
Note: Cards are only collected from guests booking online. Bookings made by staff, and walk-ins, are never charged.
Turn it on
- Go to Settings, then Card holds & deposits.
- Switch on "Require a card".
- Choose the "Card policy": "Save card (charge on no-show)" or "Deposit upfront".
- Set the "No-show fee" (charged per guest) for a saved card, or the "Deposit amount" for a deposit.
- Set the "Late-cancel window", in hours. The default is 24 and the most is 720. A cancellation inside this window is treated like a no-show.
- Under "Who gets asked for a card", choose "Follow the policy above", "All online bookings", "Parties at or above a size" (then set the "Party-size threshold"), or "Only shifts that require it".
- Check the "Currency", a 3-letter code. The default is sgd.
- Choose "Save changes".
A shift, a section or an experience can have its own card requirement. The most specific one wins over the venue setting. These are set in the shift form, the "Sections guests can choose" card and the experience form.
What happens to the money
- Seat now: a held deposit is refunded in full, and a saved card is released.
- No-show: a saved card stays saved so a manager can charge it. A deposit stays held.
- Cancelled inside the late-cancel window: a saved card stays saved so a manager can charge it, and a deposit is kept.
- Cancelled outside the window: a saved card is released and a deposit is refunded.
- Reinstate (undoing a no-show or a cancellation) never moves money.
Careful: Nothing is charged automatically. A saved card is only charged when an owner or manager chooses "Charge card" on the booking. See "Charge a no-show fee".
Reading the payment chips
Booking rows on the book show a small chip: "Card on file", "Deposit held", Charged, "Charge failed", "Card released", Refunded, "Card pending", or "No card (required)".
