The book: seat, complete, no-show and cancel
How to read the day's bookings and move each one through seated, completed, no-show or cancelled, and how to undo a mistake.
All staffBook shows one day at a time. Use the date arrows or the jump-to-date control to change day, and "Today" to come back. The "List" and "Timeline" tabs show the same bookings in two layouts. The page refreshes by itself every 30 seconds.
- Search ("Search guests and bookings") finds a guest, an upcoming booking or a past visit.
- The day is grouped into Upcoming, Seated, Completed, and "Cancelled & no-shows", with cover totals. Stats at the top include "At a glance" and "Needs a table".
- You can filter by section and by experience.
Move a booking through service
- When the guests arrive, choose "Seat now" on their row. The row moves to Seated.
- When they leave, choose "Complete". Do this every time: a table stays held until its booking is completed or its turn time runs out, so skipping it can show a false clash for the next booking.
- If they do not turn up, choose "No-show" on a booked row.
- To cancel, choose "Cancel" on a booked or seated row.
- The only valid moves: seat from booked, complete from seated, no-show from booked, cancel from booked or seated.
- To assign or change the table, use the table control on the row. Bookings with no table are counted under "Needs a table".
- A payment chip on the row shows the card or deposit status. See "Card holds and deposits".
Cancel a booking
- Choose "Cancel" on the row.
- Pick a reason: "Guest cancelled", "No longer needed" or "Duplicate or test booking".
- Tick or untick the box to email the guest. The email is sent on a best-effort basis.
- Confirm.
Bookings are never deleted. Cancelling keeps the record and the guest's history. A cancellation can also trigger a "a table just opened up" email to matching guests on the waitlist.
Undo a mistake
Choose "Reinstate" on a finished row. What you can undo depends on your role:
- Completed back to seated: any staff.
- No-show back to booked, and cancelled back to booked: managers and owners only.
- Undoing a status never moves money.
