Take or edit a booking
Add a booking for a phone call or a walk-in, change an existing one, and override a full slot or a table clash with a reason.
All staffChoose "New booking" on Book. To change an existing one, choose "Edit" on its row. The form is made of cards: Guest, When, Seating and, if you use them, Experiences.
Make a booking
- In the Guest card, search by name or phone. Existing guests are suggested, so a regular's notes and preferences come with them. Or create a new guest with a name, phone and email. If a guest with the same phone or email exists, you are warned.
- In the When card, pick the Date and the "Party size" (1 to 200). The time pills show the day's real seatings. The "Turn time" is filled in for you and can be changed (15 to 480 minutes).
- In the Seating card, choose a Section and a Table. "Unassigned" leaves it for later. There are also "Auto-combine" and "Combinations" options for bigger parties.
- Add an Occasion, and any Experiences.
- "Special requests" are visible to the guest and up to 500 characters. "Staff notes (internal)" are up to 1000 characters and never shown to guests.
- Choose the Source: Phone, Walk-in, Manual or Online.
- Save the booking.
When the form warns you
The form checks the time as you go. If the slot is full, the table is taken, the table is too small, or a section is closed, you get a warning. Choose "Override & book anyway" and type a reason (up to 500 characters). The override is recorded. Guests booking online never see this option.
Careful: If "Auto-combine" finds no free tables to join for that time, the booking cannot be forced through with an override. Pick a different time or table.
Common problems
- A time you want is not in the pills: it is outside your service hours or a shift, or the date is closed in Special dates.
- You cannot delete a booking. Cancel it instead, so the record stays.
